Privacy notice

Who we are

The controller of your personal data is Sharon Lee, trading as Woodsend Walkies.

What we collect

When you make a booking, we collect:

  • Your name, mobile number and email address
  • The date and time of your booking, and how many dogs
  • The amount paid
  • The IP address and browser identifier recorded when you accepted the field rules
  • The fact and time that you accepted the field rules

Why we're allowed to use it

Taking and managing your booking relies on contract as its lawful basis (UK GDPR Article 6(1)(b)) — we need this information to provide the booking you asked for. Keeping a record of rules acceptance and screening for fraud rely on our legitimate interests. Neither relies on your consent.

Who we share it with

We use the following processors to run the site and take payment:

  • Stripe — takes payment. Your card details are entered on Stripe's own page and never reach us. Stripe Payments UK Ltd, London, processes data in the EU and US under Stripe's own safeguards.
  • Resend — sends your booking emails, from its EU region in Ireland.
  • Fly.io — hosts the site and the booking database, from its London region.
  • Sentry — monitors our server for errors, from its EU region in Frankfurt. This does not collect anything from your browser.

How long we keep it

  • Booking and payment records: 7 years from the booking date, for tax and to defend claims.
  • Mobile numbers: deleted 12 months after the booking, unless you have taken up a text-reminder service.
  • Server error logs: 90 days.

Cookies

There is no analytics, no tracking pixels and no advertising here, and our fonts are served from our own site rather than a third party. The site sets two cookies and both are sign-in cookies: one for the field owner on the admin pages, and one for you only if you ask us for a sign-in link and use it, so that you can see your own bookings. Booking as a guest sets no cookie at all. Both are strictly necessary for a service you asked for, so they are exempt from consent under PECR regulation 6(4) and there is no cookie banner. Signing out deletes yours.

Your rights

You can ask us to:

  • Give you access to the data we hold about you
  • Correct it if it's wrong
  • Erase it, subject to the retention periods above
  • Stop using it where we rely on legitimate interests
  • Give you a copy in a portable format
